Seven on SevenA guide from Seven on Seven

AI employees for your business.

A team of AI agents that runs your marketing, reporting and daily operations, all working through one dashboard you check each morning. Built and customized for your business with Claude.

What you're building, and why

Most owners check six apps and still can't answer "what's working?" You'll build two things that work together: AI employees that do the repetitive work on a schedule (pull the numbers, write reports, draft posts and ads, flag leads, remind your team), and one dashboard where their work shows up and you make the calls. Every morning you can see:

  • Where customers came from: each call, form and sale traced to the ad, post, search or flyer that brought it in.
  • What you spent and what you got: ad spend, cost per lead, and which campaigns to grow or stop.
  • What to do today: leads to follow up, posts to approve, tasks due, and plain-English insights.

It can also help you make the marketing: brand-consistent post designs, a content calendar, paused ad drafts, and posting to Facebook, Instagram and LinkedIn, always with your approval and spending caps.

AI employees for your life.

A team of AI helpers that organizes your days: your email, calendar, to-dos, budget and routines, all in one dashboard you check each morning. Built around how you actually live, with Claude.

What you're building, and why

You keep a lot in your head: bills, school forms, appointments, replies you owe, groceries, the thing you promised to do Thursday. You'll build two things that work together: AI helpers that do the sorting and reminding on a schedule, and one personal dashboard (an app that's yours) where it all shows up. Every morning you can see:

  • Today: your calendar, your top 5 to-dos, and what's due or overdue.
  • What needs a reply: important emails sorted out of the noise, with drafts ready for you to send.
  • Your money: where it went this month, bills coming up, and how you're doing against your budget.

It runs your routines for you (meal plans, chores, kids' school stuff, renewals) and never sends, pays or deletes anything without you.

Meet your AI team

Each AI employee is an automated job or a Claude scheduled task with a written job description, a schedule and clear limits. You pick the roles you need; the prompt sets them up. You stay the boss: anything public or costly waits for your approval.

  • Data analyst: pulls your website, search, social, ad and lead numbers every morning.
  • Reporting assistant: writes the Monday memo: what happened, what's working, what to do next.
  • Lead coordinator: flags leads not contacted in 24 hours and drafts the follow-up.
  • Content strategist: plans the week's posts from your goals and best performers.
  • Designer: turns posts into on-brand graphics from your brand kit and real photos.
  • Brand checker: reviews every post and ad for wording, prices and claims before it reaches you.
  • Social publisher: posts what you approved, on schedule.
  • Ad manager: drafts ads paused, guards your budget, and recommends what to pause or scale.
  • Operations assistant: turns emails and meeting notes into tasks and sends the daily "what's due".
  • Watchdog: checks every connection and job daily, and every service that could bill you.

How it fits together

Your toolsWebsite and Google Analytics, Search Console, Tag Manager, Facebook, Instagram, LinkedIn, Google and Meta ads, your forms, CRM or Airtable, phone calls, task app
Your dashboardPulls the numbers every morning, stores them privately, and shows them as simple charts and lists. Login protected, with roles for your team.
Your actionsFollow up leads, approve posts and designs, launch or pause ads within your budget, assign tasks, read the weekly memo

Claude Code builds the dashboard and the AI employees, and keeps improving them. Many employees run on free automated jobs; the thinking ones (reports, insights, drafts) run as Claude scheduled tasks on your Claude plan, with no paid AI service needed.

Pages you can choose from

The prompt asks about your business and recommends only what you'll use. Most people start with 4 to 6 pages.

  • Overview: this week at a glance, goals versus actuals, and alerts.
  • Leads and follow-up: every lead with its source, stage and who needs a call today.
  • Website: visits, top pages, form and call clicks, and where visitors drop off (Google Analytics and Tag Manager).
  • Search and SEO: what people searched to find you, rankings and trends (Search Console).
  • Social: reach, engagement and best posts on Facebook, Instagram and LinkedIn.
  • Paid ads: spend, clicks, leads and cost per lead by campaign, with budget pacing.
  • Ad center: ad ideas, paused drafts, and launch only after your approval and a budget check.
  • Creative studio: post and ad designs made from your brand kit and real photos.
  • Content calendar: planned, waiting for approval, scheduled and posted.
  • Campaign impact: did that mailer, event or promo actually move the numbers?
  • Insights and memo: what changed, what's working, what to do next, in plain English.
  • Tasks: your team's to-dos, synced with the tool you already use (optional add-on below).
  • AI team: every AI employee, its job, its last run, and what it needs from you.
  • Setup and spending safety: which connections are live, and every service that could ever bill you, with caps and alerts.

Before you start

  1. Claude and Claude Code

Get Claude Pro or Max at claude.ai and the desktop app at claude.com/download. Open the Code tab.

  2. Free GitHub and Cloudflare accounts

GitHub stores the code privately. Cloudflare hosts the dashboard and its data, free for most small businesses.

  3. Admin access to your tools

You'll need to be an admin on your Google Analytics, Search Console, Tag Manager, Facebook Page and Business Manager, Instagram business account, LinkedIn page and ad accounts. Claude walks you through each one.

  4. A folder

Make a folder called my-dashboard on your Desktop, open it in the Code tab, and paste the prompt.

Honest expectations

  • It's a project, not an afternoon. A useful first version (overview, website, search and leads) takes a day or two of back and forth. Ads, social posting and creative come in stages over a few weeks.
  • Some platforms make you apply. Meta (Facebook and Instagram) needs an app review before a dashboard can post or manage ads for you. LinkedIn's marketing access requires an application and approval. Google Ads needs a developer token. Reading your own numbers is usually quick; posting and ads take longer.
  • You stay in control. Nothing posts and no ad spends money without your approval, and every service that could bill has a hard cap.

The prompt

Copy it into Claude Code. It starts with a full interview so the dashboard fits your business, then builds it one piece at a time.

You are my business systems builder. Help me design and build a team of AI employees (automated jobs and Claude scheduled tasks) that run my marketing, reporting and daily operations, plus a private dashboard where their work shows up and I make the decisions. I am not technical: ask one question at a time, explain things in one or two plain sentences, suggest a sensible default when I'm unsure, and do every technical step yourself. Check with me before anything that posts publicly, spends money or changes an account.

PHASE 1: PURPOSE AND GOALS
1. What does my business sell, to whom, and where?
2. Why do I want a dashboard? What decisions should it help me make (for example: which ads to keep, which leads to call, what to post, whether marketing is paying off)?
3. What are my top 3 goals for the next 6 to 12 months, with numbers if I have them (leads a month, sales, cost per lead, followers, bookings)?
4. What does a "good week" look like in numbers? What would worry me?

PHASE 2: PEOPLE AND ACCESS
1. Is this just for me, or for a team? How many people, and what are their roles?
2. Who needs a login, and what should each person see or do (owner sees everything; a salesperson sees leads; a marketer approves posts; an outside partner sees only their region or project)?
3. How should it be accessed: phone, computer or both? Any need for separate views per location, brand or project?
4. Does my team use Claude? If yes, which plan, and would they like Claude to draft posts, memos or follow-ups from the dashboard data?

PHASE 3: MY TOOLS (ask about each and note which I use)
- Website: platform (Wix, Squarespace, WordPress, Shopify, custom), Google Analytics 4, Google Tag Manager, Google Search Console, Google Business Profile.
- Social: Facebook Page, Instagram business account, LinkedIn company page, TikTok, YouTube, Pinterest.
- Ads: Google Ads, Meta Ads, LinkedIn Ads; monthly budget per platform.
- Leads and sales: website forms, CRM (HubSpot, Salesforce, Airtable, Google Sheets, other), booking tools, e-commerce, Stripe, phone system (call tracking, RingCentral, others), email marketing.
- Team and tasks: Slack, Microsoft Teams, Asana, Trello, Monday, ClickUp, Notion, Airtable, Google Calendar.
- Creative: brand kit (logo, colors, fonts), photo library (Google Drive, Dropbox), Canva.
- Offline marketing: events, mailers, flyers, QR codes, sponsorships.

PHASE 4: CHOOSE THE PAGES AND CHARTS
Based on my answers, recommend the pages I need (from: Overview, AI team, Leads and follow-up, Website, Search and SEO, Social, Paid ads, Ad center, Creative studio, Content calendar, Campaign impact, Insights and memo, Tasks, Setup and spending safety) and explain in one line why each one matters to my goals. For each page, propose 3 to 5 charts or lists, and tell me which question each one answers. Explain the trade-offs: start small with 4 to 6 pages. Show me a one-page plan (pages, charts, who sees what, which tools connect in which order) and wait for my OK.

PHASE 5: FOUNDATION (free and secure)
- Host on Cloudflare (Workers or Pages with a D1 database and KV cache, free tier) unless I already use something else. Save the code in a new PRIVATE GitHub repo with Dependabot alerts and a secret scan.
- Logins: real authentication with roles from Phase 2, two-factor for admins, and sessions that expire. The dashboard is never public; add noindex.
- Secrets (API keys and tokens) live only in Cloudflare secrets, never in the code or the browser.
- Data: pull numbers on a schedule (for example 6 am daily), store only what charts need, and keep no customer personal data beyond what's required (use counts and scrambled IDs where you can).
- Spending safety: list every service that could bill, use free tiers, set hard caps and alerts at 70% and 90%, and never use a paid AI API unless I approve a written monthly budget. Insights can be rules-based, or written by Claude through a scheduled task in the Claude app.
- Build mobile first, accessible (WCAG 2.2 AA), fast, and clear: plain labels, every number with its date range, and charts that start at zero.

PHASE 6: CONNECT EACH SOURCE, ONE AT A TIME
For each tool I use, in the order we agreed: explain what we'll connect and why, walk me click by click through creating the access (admin settings, API access, service accounts, app review if required), have me paste keys only into the secure secret prompt (never into chat), test the connection, and show me the first real numbers before moving on. Be honest about which platforms need approval and how long it takes:
- Google Analytics 4 and Search Console: a Google Cloud service account with read access.
- Google Tag Manager: a tracking plan (calls, texts, emails, forms, outbound clicks, purchases) published with Consent Mode, plus hidden form fields so every lead keeps its source (UTMs, ad click IDs).
- Meta (Facebook and Instagram): a Business Manager system user and token; reading insights first, then post publishing and ads management after Meta app review.
- LinkedIn: page analytics and posting require LinkedIn's marketing API application and approval; until approved, plan manual posting with reminders.
- Google Ads: developer token and account access; read first, then paused drafts.
- CRM, Airtable or Sheets, forms, phone system, Stripe and booking tools: read-only connections first.
- Offline campaigns: QR codes and short links that count scans and tag leads.

PHASE 7: CREATIVE, CONTENT AND POSTING (if I want it)
- Brand kit: my logo, colors and fonts saved once; post and ad templates that use my real photos (no AI images of my products or property unless I say so).
- A brand check before anything is posted: banned words, prices, claims, spelling, image sizes.
- A content calendar where posts go Draft, Needs approval, Approved, Scheduled, Posted. Nothing posts until I approve it. Then publish approved posts to the platforms that allow it and remind me for the rest.

PHASE 8: ADS (if I want it)
- Ad ideas from my goals, events and best organic posts.
- Ads are created PAUSED. Launching needs my explicit approval, a confirmed budget, a check against my monthly cap, and the platform's own spending limit set.
- Optimization: weekly recommendations (pause, scale, change audience or creative) with the numbers behind them. Never change live budgets or turn ads on by yourself.
- Respect ad rules for my industry (for example housing, credit and employment ads have special categories).

PHASE 9: HIRE MY AI EMPLOYEES
Recommend which AI employees I need (for example: data analyst, reporting assistant, lead coordinator, content strategist, designer, brand checker, social publisher, ad manager, operations assistant, watchdog). For each one I choose, write a one-paragraph job description: what it does, when it runs, what it reads, what it writes, who it hands work to, and what it is never allowed to do. Then build it as the cheapest reliable option: a free scheduled job in the dashboard for data pulls and rules, or a Claude scheduled task in the Claude app for writing and judgment (reports, insights, drafts, follow-ups). Add an "AI team" page listing every employee with its status (working, needs setup, stuck), last run, and what it's waiting on. Nothing an employee makes goes public or spends money without my approval.

PHASE 10: INSIGHTS AND ROUTINES
- A morning refresh, an Overview with alerts (leads not contacted in 24 hours, cost per lead over target, budget pace, broken connections), and a Monday memo in plain English.
- Show me how to set up a Claude scheduled task that reads the dashboard and writes weekly insights and next steps, with no paid AI API.

PHASE 11: LAUNCH CHECK AND HANDOFF
Test every login and role, every connection and AI employee, a phone and desktop view, the accessibility check, the spending caps and alerts, and that nothing can post or spend without approval. Then write README.md and HOW-TO-USE.md: every account, connection and AI employee, who owns it, how to add a user, how to rotate a key, what each page means, and what to do when something breaks. Give me a short list of what to build next.

Tip: do it in stages. Say "let's just do Phase 1 to 4 today" to get your plan first.

Add-on: task management

Paste this into the same Claude Code session once your dashboard is running. It adds a Tasks page and an operations assistant that work with the tools your team already uses.

Add task management to my dashboard. Ask me one question at a time:
1. Where do my tasks live today: Asana, Trello, Monday, ClickUp, Notion, Airtable, Slack, Microsoft Teams, Google Tasks, paper, or nowhere yet? Should the dashboard sync with that tool (two-way, newest edit wins) or become the main task list?
2. Who's on the team, who assigns tasks, and who should see whose tasks?
3. What should a task have: owner, due date, priority, status, project or location, related lead or campaign, notes?
4. Which statuses do we use (for example To do, In progress, Waiting, Done)?
5. Should tasks be created automatically from the dashboard: a lead not contacted in 24 hours, a post waiting for approval, an ad over budget, a broken connection?
6. How should people be reminded: Slack or Teams message, email, a daily digest, or only on the dashboard?
7. Do we use Claude? If yes, should Claude turn meeting notes and emails into tasks, or draft a daily "what's due" summary through a scheduled task?
Then show me the plan and wait for my OK. Build it with the same logins and roles, connect the tool (walk me through its API key or OAuth, stored only as a secret), test with 3 real tasks, and add a "My tasks today" box to the Overview. Nothing gets deleted in the other tool without my approval.

Meet your personal AI team

Each helper is a Claude scheduled task or a small automated job with a clear job description, a schedule and limits. You choose the ones that fit your life.

  • Inbox assistant: sorts your email each morning, pulls out what needs you, and drafts replies for you to send.
  • Calendar keeper: merges your calendars, spots conflicts, and reminds you what to prep.
  • To-do manager: turns emails, texts you forward and notes into to-dos, ranked by deadline and urgency.
  • Money tracker: sorts your spending into categories from statements you export, flags bills due, and tracks your budget.
  • Household manager: chores on a rotation, home maintenance, renewals and warranties.
  • Family coordinator: school emails, forms, practices, birthdays, and who's driving.
  • Meal planner: a weekly plan and grocery list from what your family actually eats.
  • Morning brief: one short email or page at 7 am with everything above.
  • Weekly review: Friday look at what got done, what slipped, and one thing to automate next.

Pages you can choose from

  • Today: calendar, top 5, due and overdue, and a quick-add box.
  • To-dos: everything open, sorted by deadline, by area of life (home, money, kids, health, work, personal).
  • Inbox and drafts: what needs a reply and the drafts waiting for you.
  • Calendar: the next 7 days across every calendar.
  • Money: spending by category and month, bills coming up, budget versus actual.
  • Home and family: chores, maintenance, school and activities.
  • Goals and habits: the few things you're working on, with simple streaks.
  • AI team: every helper, what it did today, and what it needs from you.

Before you start

  1. Claude and the desktop app

Claude Pro or Max from claude.ai, and the desktop app from claude.com/download. Scheduled tasks run while the app is open and your computer is awake.

  2. Connect your email and calendar

In Claude's settings, turn on the Gmail or Outlook and calendar connectors. Claude can read and draft; you do the sending.

  3. Free accounts

Airtable (or Notion) to hold your to-dos and data, plus GitHub and Cloudflare if you want your own app. Claude walks you through each.

  4. A folder

Make a folder called my-life-os, open it in the Code tab, and paste the prompt.

Privacy and honest expectations

  • Your data stays yours. The dashboard has a password, isn't public, and keeps only what it needs.
  • Never give Claude your bank password. For budgets, export a statement (CSV) each month, or use a read-only budgeting app. Claude never pays bills or moves money.
  • You stay in charge. Claude drafts emails, but you send them. Nothing gets deleted.
  • Sensitive topics get rules. Tell Claude what to keep private (health, legal, family matters) and how to word it neutrally.
  • It's a few sessions, not a weekend. Start with the morning brief and to-dos, then add money and routines.

The prompt

Copy it into Claude Code. It starts by learning how you actually spend your days, then designs your helpers and your dashboard around that.

You are my personal chief of staff and builder. Help me design and build a set of AI helpers (Claude scheduled tasks and small automated jobs) and a private personal dashboard that organize my life. I am not technical: ask one question at a time, explain in one or two plain sentences, suggest sensible defaults, and do every technical step yourself. Never send email, pay bills, move money or delete anything; you draft, I decide.

PHASE 1: A DAY IN MY LIFE
1. Walk me through a typical weekday, hour by hour, from waking up to bed. Then a typical weekend day.
2. What do I do every day, every week and every month that feels repetitive (email, scheduling, bills, groceries, laundry, school forms, appointments, errands, workouts, paperwork)?
3. What falls through the cracks or stresses me out most? What do I forget?
4. Who's in my household and life that I coordinate with (partner, kids, parents, pets, a co-parent, a business partner)? Which of their schedules do I track?
5. If you could take three things off my plate tomorrow, what should they be?

PHASE 2: MY TOOLS AND ACCOUNTS
Ask which I use: email accounts (Gmail, Outlook, iCloud); calendars (Google, Apple, Outlook, shared family ones); to-do lists (paper, Apple Reminders, Todoist, Notion, nothing); notes; budget (a spreadsheet, a budgeting app, statements only); bills and subscriptions; school and activity apps; health and fitness apps; photos; smart home. Note what I'd like connected and what stays manual.

PHASE 3: WHAT I WANT TO SEE AND HOW
1. When and where do I want my brief: a 7 am email, a phone home-screen page, or both?
2. Which areas of life should the dashboard track (home, money, kids, health, work, personal projects, goals)? Which areas are urgent by default, and which never are?
3. How do I like to-dos ranked (deadline first, then urgency)?
4. Will anyone else use it (my partner), and what should they see?
5. Privacy: what's sensitive, what should never be copied word for word, and which names or details should be initials only?

PHASE 4: MY PLAN
Recommend my AI helpers (for example: inbox assistant, calendar keeper, to-do manager, money tracker, household manager, family coordinator, meal planner, morning brief, weekly review) and my dashboard pages (Today, To-dos, Inbox and drafts, Calendar, Money, Home and family, Goals and habits, AI team). For each helper, write a one-paragraph job description: what it does, when it runs, what it reads, what it writes, and what it is never allowed to do. Show me a one-page plan and wait for my OK.

PHASE 5: BUILD THE FOUNDATION
- A private Airtable (or Notion) base with tables for To-dos, Areas, Calendar, Daily log and Money, with simple fields I understand.
- Connect my email and calendar through Claude's connectors (read and draft only).
- Money: start from statements I export as CSV, never bank passwords. Build categories, monthly totals and a budget. Mark which numbers are estimates.

PHASE 6: HIRE MY HELPERS
Create each helper as a Claude scheduled task (in the Claude app) with its job description as the prompt, in this order: morning brief, inbox assistant, calendar keeper, to-do manager, then the rest. Run each one once with me watching, fix anything confusing, and approve its tool permissions so it runs on its own. Tell me plainly: scheduled tasks only run while my computer is awake and the Claude app is open.

PHASE 7: MY DASHBOARD APP
Build a private, password-protected web app (free on Cloudflare or Vercel for personal use) that reads my base and shows my pages. Mobile first so I can add it to my phone's home screen. Big readable text, one-tap add, mark done, change dates. Visuals only if they help me decide something, every number labeled.

PHASE 8: HANDOFF
Write HOW-TO-USE.md: what each helper does and when, how to add a to-do, how to pause a helper, and what to do if a morning brief doesn't arrive. Then suggest the next 3 things worth automating, based on my answers in Phase 1.

Tip: start with Phases 1 to 4 to get your plan, then build one helper at a time.
